1. Who we are
4job.com is operated by Cognexa Software Limited, a company registered in the Republic of Cyprus under registration number HE 495932, with its registered office at 12 Archiepiskopou Makariou III Ave, 3030 Limassol, Cyprus ("4job.com", "we", "us"). Cognexa Software Limited is the data controller for the personal data described in this policy.
We also operate branch offices in Berlin, Germany and Dubai, United Arab Emirates. Wherever you interact with us, Cognexa Software Limited in Cyprus remains responsible for your data, and this policy applies in full.
2. Data we collect
Profile data you give us: name, contact details, CV, work history, education, skills, languages, salary expectations, preferred locations and working style, and the answers you give in your 10-minute profile interview.
Data created when you use the service: match scores and explanations, the companies you shortlist or decline, messages with consultants, interview feedback, and offer details.
Technical data: IP address, device and browser type, pages visited and actions taken on 4job.com, collected through cookies as described in our Cookie policy.
We do not ask for special categories of data (such as health, religion or ethnicity). If you choose to share such information, for example a disability that affects workplace adjustments, we will use it only with your explicit consent and for that purpose.
3. Purposes and legal bases
To create your profile, match you with companies and arrange introductions — necessary to perform our contract with you (Art. 6(1)(b) GDPR).
To improve our matching engine, prevent fraud and keep the service secure — our legitimate interests (Art. 6(1)(f) GDPR), balanced against your rights. You can object at any time.
To send you career guides, salary reports and product news — your consent (Art. 6(1)(a) GDPR), which you can withdraw with one click in any email or in your settings.
To keep accounting and tax records and respond to authorities — our legal obligations (Art. 6(1)(c) GDPR).
4. Sharing with employers
Employers never browse a public database of candidates. Your profile is shared with a specific company only after you approve an introduction to that company, and only the information needed for that introduction.
Stealth mode is on by default: your current employer, and any company in the same corporate group that you list, will never be shown your profile or matched with you.
When you approve an introduction, the receiving employer becomes an independent controller of the data we share with them and must handle it under its own privacy policy.
5. Other recipients
We use carefully selected service providers (processors) for cloud hosting, email delivery, video calls, customer support and analytics. They act only on our instructions under data processing agreements.
If you request relocation support, we share the details you approve with the relevant relocation partner. We never sell your personal data.
6. Retention
We keep your profile while your account is active. If you do not log in for 24 months, we will remind you and then delete or anonymise your profile 30 days later unless you reactivate it.
Records of placements and invoices are kept for 7 years to meet Cyprus tax and accounting law. Consultant notes are deleted together with your profile. Server logs are kept for up to 90 days.
7. International transfers
Your data is stored in data centres in the European Union. When we introduce you to an employer outside the EEA, such as in the UAE, we do so at your request to perform our contract with you.
Where our service providers process data outside the EEA, we rely on an adequacy decision of the European Commission or on Standard Contractual Clauses with additional safeguards.
8. Your rights
You have the right to access, rectify, erase and port your data, to restrict or object to processing, and to withdraw consent at any time without affecting earlier processing. You may also contest decisions based solely on automated processing; every 4job.com introduction is reviewed by a human consultant.

9. Security
Data is encrypted in transit (TLS 1.2+) and at rest. Access is limited to staff who need it, protected by single sign-on and multi-factor authentication, and logged.
We run regular penetration tests and staff privacy training. If a personal data breach is likely to put your rights at risk, we will inform you and the supervisory authority as required by law.

11. Complaints
If you believe we have not handled your data lawfully, please contact our DPO first so we can try to resolve it. You also have the right to lodge a complaint with the Office of the Commissioner for Personal Data Protection of the Republic of Cyprus (1 Iasonos Street, 1082 Nicosia; www.dataprotection.gov.cy) or with the supervisory authority where you live or work.
12. Changes to this policy
We may update this policy as our service or the law changes. We will notify you by email or in your account at least 14 days before material changes take effect.
